Membership terms & conditions
1. General notices
1.1 These Terms & Conditions apply to membership of London Contact Centre Forum. The agreement is entered into with the organisation or individual, where applicable.
1.2 Other documents which govern membership, in addition to these Terms & Conditions, include the Privacy Policy, Website Terms & Conditions and Event Terms & Conditions. These are available to view on the London Contact Centre Forum website.
1.3 London Contact Centre Forum reserves the right to amend these Terms & Conditions at any time. Any changes will take effect once reflected in these Terms & Conditions and published on the website.
1.4 Members should check the Terms & Conditions on the website periodically to ensure that they are aware of and complying with the current version.
2. Membership
2.1 Acceptance of an application for membership is at the discretion of London Contact Centre Forum.
2.2 London Contact Centre Forum will endeavour to notify the applicant of its decision within 21 days of an application being submitted.
2.3 Applicants have 7 days from submitting their membership application in which to cancel. Where payment has already been made, London Contact Centre Forum will endeavour to refund monies paid within 45 days.
2.4 Membership will commence on the day that London Contact Centre Forum accepts the application and will be valid for a period of 12 months.
3. Membership refusal
3.1 London Contact Centre Forum reserves the right, at its sole discretion, to refuse an application for membership.
3.2 There is no entitlement to appeal a decision to refuse membership.
3.3 For the avoidance of doubt, refusal of a membership application will not give rise to any claim for damages against London Contact Centre Forum.
4. Membership fees
4.1 Membership fees are payable annually and in advance. A promotional offer may apply for new members.
4.2 Following the issue of an invoice, payment of the applicable membership fee, as set out in the membership packages on the membership application, must be made within 30 days of the invoice date.
4.3 London Contact Centre Forum reserves the right to amend its membership fees at any time.
4.4 If any monies remain unpaid for 30 days, London Contact Centre Forum reserves the right to suspend or terminate membership.
5. Membership cancellation and termination
5.1 If a Member decides to cancel their membership after the initial 7-day cancellation period, the Member must inform London Contact Centre Forum in writing.
5.2 London Contact Centre Forum reserves the right to terminate the membership of any Member at any time and with immediate effect where the Member is deemed by London Contact Centre Forum to have behaved inappropriately, including where they have breached these Terms & Conditions or behaved in a manner that may bring London Contact Centre Forum into disrepute.
6. Governing law
6.1 These Terms & Conditions are subject to English law and the exclusive jurisdiction of the English courts for the determination of disputes.
7. Payment terms as applicable
7.1 On completion of the booking form, payment may be made by cheque, credit card or direct credit transfer.
7.2 On production of a purchase order by the delegate's organisation or institution, an invoice may also be raised.
7.3 Receipts will be issued within 28 days after the conference. Under exceptional circumstances, payment may also be made at the conference.
7.4 If you are from a country outside the EU, Australia, New Zealand, Japan, Canada or the USA, payment is required in advance by cheque or BACS/money transfer with a remittance advice. Credit cards are not accepted in these cases.
7.5 London Contact Centre Forum does not accept or action emails or telephone calls requesting letters of invitation.
8. Substitution and cancellation
8.1 If delegates are unable to attend, they may make a substitution at any time.
8.2 If it is not possible to notify London Contact Centre Forum of the substitution prior to the conference, notification should be made immediately on arrival at the conference.
8.3 If necessary, a booking may be cancelled in writing up to 21 days before the conference.
8.4 Refunds will be subject to an administration fee of £20 plus VAT.
8.5 After this date, London Contact Centre Forum cannot provide refunds for cancellations.
8.6 Overseas delegates are strongly recommended to take out appropriate travel insurance.
9. Special diets
9.1 All catering is organised with options to meet vegetarian dietary requirements.
9.2 London Contact Centre Forum can accommodate most other dietary requirements where these are indicated at the time of booking.
10. Quality assurance
10.1 At the end of the conference, delegates may be asked to complete an evaluation form.
10.2 To help London Contact Centre Forum maintain a high quality of service, we welcome comments and suggestions and ask delegates to complete and return the requested feedback.
11. Data protection
11.1 Information provided on the booking form will be held on a database to process confirmation of your place and to enable London Contact Centre Forum to keep you informed about other relevant products and services.
11.2 London Contact Centre Forum does not pass your details to companies outside the group for their own marketing purposes.
12. Sponsorship
12.1 Sponsor applications are handled on a first come, first served basis. Sponsors are expected to be supportive of London Contact Centre Forum and its mission. London Contact Centre Forum reserves the right to reject any sponsor that it deems inappropriate.
12.2 Following written acceptance by London Contact Centre Forum, the sponsor must provide its logo in the required format, together with any other required information, such as contact details and trademarks, within 10 days of receiving acceptance.
12.3 Sponsorship must be paid within 30 days of the invoice date unless otherwise agreed in writing with London Contact Centre Forum.
12.4 The sponsorship fee does not include free conference registration unless this is specifically stated as a sponsor benefit.
12.5 All sponsorship materials must be submitted within the specified production schedule.
12.6 Sponsors may not sublet, assign or apportion any part of the item or items sponsored, nor represent, advertise or distribute literature or materials for the products or services of another firm or organisation, except where approved in writing by London Contact Centre Forum.
12.7 London Contact Centre Forum will not be liable for damage to or loss of sponsors' property caused by fire, theft, accident or any other cause.
12.8 No part of an exhibit, signage or other materials may be pasted, nailed or otherwise affixed to walls, doors or other surfaces in a way that marks or damages the premises, equipment or furnishings. The sponsor will be responsible for the cost of any damage resulting from failure to observe this requirement.
12.9 Sponsors may sponsor single or multiple items or events. If an organisation is interested in a sponsorship arrangement that is not listed, it is welcome to contact London Contact Centre Forum to discuss its requirements.
12.10 In order to limit costs, London Contact Centre Forum may restrict the number of colours used when reproducing sponsor logos.
